InspectionX AI, Inc. — Last Updated: September 2026

1. Welcome

InspectionX AI, Inc. (“InspectionX,” “we,” “us,” or “our”) provides an AI-assisted inspection platform that helps professional inspectors capture inspection information, organize photographs and observations, generate and manage inspection reports, and deliver reports and related information to clients. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you access or use our website at inspectionx.ai, the InspectionX mobile application, the InspectionX web-based inspection platform, interactive and client-facing report features, customer support and communications, and any other product, feature, website, or service that links to this Privacy Policy (collectively, the “Services”).

This Privacy Policy applies to personal information that InspectionX processes for its own business purposes. It also explains our role when we process inspection data and other personal information on behalf of inspectors, inspection companies, franchisors, associations, program partners, or other organizational customers.

The Services are intended for professional and business users in the United States and are not directed to individuals outside the United States. Additional information regarding the geographic scope of the Services is provided in Section 15. This Privacy Policy does not apply to third-party websites, applications, integrations, or services that process personal information under their own privacy notices. By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

We collect personal information that you provide to us, information generated through use of the Services, information collected automatically, and information received from Users, integrations, service providers, program partners, public sources, and other third parties.

2.1 Contact, Account, Program, and Billing Information

When you create or administer an account, start a trial, schedule a demonstration, contact us, participate through a franchise, association, or other program, purchase or use the Services, or otherwise communicate with us, we may collect:

  • name, business name, email address, telephone number, and postal or billing address;
  • job role, professional license or certification information, and franchise, association, or program affiliation;
  • username, password, authentication information, account status, permissions, settings, and login activity;
  • support requests, demo requests, feedback, and other communications; and
  • subscription, Order, invoice, billing, transaction, payment-status, renewal, cancellation, and related account-administration information.

Payments may be processed by Stripe or another third-party payment provider. We do not intend to collect or store complete payment-card numbers. We may receive limited transaction information, such as card brand, the last four digits of a payment card, billing ZIP code, transaction amount, payment status, and related billing information.

2.2 Inspection Data and Report Content

When you conduct an inspection or create, edit, import, generate, deliver, or maintain a report through the Services, we may process:

  • audio and voice recordings and voice-to-text transcriptions;
  • photographs, images, video, annotations, and other visual content captured or uploaded through the mobile application;
  • property addresses, property characteristics, inspection observations, defects, conditions, ratings, recommendations, limitations, repair information, and related report content;
  • appliance, equipment, component, model, serial-number, label, age, capacity, brand, recalls, and similar information;
  • device geolocation, timestamps, file data, capture metadata, and other information associated with inspection activity;
  • inspection templates, comment libraries, comments, phraseology, styles, forms, disclaimers, and other materials created by you or imported from another inspection system;
  • completed and draft reports, ancillary forms, report revisions, version history, PDFs, exports, repair-request information, and related records;
  • report-recipient information and report delivery, access, download, or interaction information; and
  • other information and content submitted to or generated through the Services in connection with an inspection.

Inspection Data may include personal information about individuals other than the User, including property owners, occupants, tenants, inspection clients, real estate professionals, contractors, and others. Section 8 provides additional information regarding this data.

2.3 Automatically Collected, Device, and Mobile App Information

When you access or use the Services, our service providers and we may automatically collect technical and usage information, including:

  • IP address, device type and identifiers, operating system and version, browser type, app version, network information, and language settings;
  • features accessed, templates used, reports generated, searches, settings, integrations, session and timing information, and other Service activity;
  • dates and times of access, session duration, referring URLs, and approximate location derived from IP address;
  • cookie, session, device, and similar identifiers;
  • error, crash, diagnostic, performance, security, authentication, and audit logs; and
  • information made available through device permissions, including microphone, camera, photo or media storage, location services, and network connectivity, when you grant the applicable permission.

You may revoke mobile application permissions through your device settings, but doing so may prevent certain features from functioning.

2.4 Information from Integrations and Other Sources

We may receive personal information from franchisors, associations, program partners, app stores, payment providers, customer-support providers, analytics and security providers, AI and model providers, and integrations or third-party services that you enable. Depending on the feature used, we may receive information necessary to connect systems, import or export inspection content, validate transactions, or provide requested functionality. We may also obtain property, permit, appliance, product, recall, or similar information from publicly available or lawfully accessible sources, as necessary, to provide the requested Service functionality.

2.5 Google User Data

If you connect your Google Calendar, we access your event times, titles, and identifiers, and create or update events for inspections assigned to you. We use this only to show your availability and to keep your assigned inspections in your calendar. We store your Google account email, an encrypted OAuth token, and those event entries; we do not sell them or share them with anyone outside the infrastructure providers that host our service. Data is transmitted over TLS and tokens are encrypted at rest. Disconnecting your calendar, or deleting your account, revokes our access at Google and deletes this data from our systems.

InspectionX’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google Workspace APIs are not used to develop, improve, or train non-personalized artificial intelligence or machine learning models, and data received from Google Workspace APIs is never transferred to any third-party artificial intelligence or machine learning service.

3. AI and Model Training

The Services use artificial intelligence, machine learning, and automated tools to assist Users with inspection workflows and report preparation. This Section describes how InspectionX uses information in connection with those features and with the development and improvement of its technology.

3.1 AI-Assisted Functionality

We may process Inspection Data and Service usage information to transcribe audio, categorize observations, match or generate comments, fill placeholders, place photographs, analyze labels, identify or retrieve product and recall information, support report review, and provide other AI-assisted functionality requested through the Services.

3.2 Model Development and Deidentification

We may use Inspection Data and Usage Data to develop, train, fine-tune, evaluate, test, and improve our algorithms, machine-learning models, model weights, prompts, and related systems. Where Inspection Data used for these purposes contains personal information, we deidentify or aggregate the information before using it for model development, training, fine-tuning, evaluation, testing, or improvement.

For purposes of this Privacy Policy, “Derived Data” means data derived from Inspection Data or Usage Data that has been processed so that it does not identify and cannot reasonably be linked to a User, other individual, or individual property. We maintain Derived Data in deidentified form, do not attempt to reidentify it except as permitted by applicable law, and require recipients to maintain the information in deidentified form where applicable.

3.3 Aggregate Insights and Technology Improvements

We may create and use statistical, market, benchmarking, trend, and other aggregated or deidentified insights derived from Inspection Data and Usage Data. We may use or commercialize those insights, and may use Derived Data to develop and improve our products, algorithms, models, prompts, model weights, and related technology, provided that the information does not identify and cannot reasonably be linked to a User, other individual, or individual property. Deleting an account or identifiable Inspection Data does not require us to unwind, delete, or retrain models to remove information that has already been incorporated into Derived Data, model parameters, or technology improvements in a form that no longer identifies or can reasonably be linked to an individual or individual property.

3.4 Third-Party AI and Model Providers

We may use third-party AI or model providers to provide certain Service functionality. Inspection content may be transmitted to those providers to generate the requested output. We require providers acting on our behalf to process identifiable Inspection Data only for authorized purposes and, where applicable, contractually restrict their use of identifiable Inspection Data to train or improve general-purpose models. We do not sell personal information for AI model training and do not make identifiable Inspection Data available to other InspectionX users for model-training purposes.

4. How We Use Personal Information

We may use personal information to:

  • provide, operate, maintain, secure, and support the Services;
  • create and administer accounts, authenticate Users, and manage authorized personnel;
  • capture, store, synchronize, organize, edit, and back up inspection photographs, audio, video, and other content;
  • transcribe audio, categorize observations, match or generate comments, fill placeholders, place images, analyze labels, and create or update inspection reports and related forms;
  • provide report version history, downloads, interactive report functionality, client-facing features, notifications, and report delivery;
  • provide property, permit, appliance, product, recall, repair, and related requested functionality;
  • enable and administer integrations with inspection software, program partners, app stores, payment providers, and other third-party services;
  • process payments, billing, collections, subscriptions, renewals, and other transactions;
  • provide support, respond to communications, schedule demonstrations, and manage customer relationships;
  • develop, evaluate, and improve the Services and our AI systems as described in Section 3;
  • understand how the Services are used and improve functionality, performance, reliability, and user experience;
  • maintain security, diagnose errors, and detect, investigate, prevent, or address fraud, misuse, unauthorized access, and security incidents;
  • send operational, account, security, product, policy, and other Service communications;
  • send marketing communications in accordance with applicable law and your preferences;
  • maintain business, contractual, tax, accounting, audit, and legal records;
  • comply with legal and regulatory obligations, enforce our agreements, and establish, exercise, or defend legal claims; and
  • carry out another purpose disclosed when personal information is collected or with your consent.

5. How We Disclose Personal Information

We may disclose personal information as described below.

5.1 Service Providers

We may disclose personal information to vendors that provide cloud hosting and storage, database services, application development, authentication, payment processing, analytics, error monitoring, cybersecurity, communications, email delivery, customer support, transcription, data processing, and other services on our behalf. These providers may process personal information only as necessary to provide services to us or as otherwise permitted by contract and applicable law.

5.2 AI and Model Providers

We may disclose Inspection Data to AI and model providers as described in Section 3.4 to provide requested Service functionality.

5.3 Integrations and Data Providers

If you enable an integration or request functionality that depends on an external data source, we may disclose or receive information as necessary to connect systems, import or export data, obtain property, permit, appliance, product, recall, or similar information, or provide the requested functionality. A third party may process information it receives under its own terms and privacy notice when it acts independently of InspectionX.

5.4 Franchisors, Associations, and Program Partners

If you access the Services under a franchise system, association, or other partner program, we may disclose account status, usage volume, billing status, and other limited program-administration information to the applicable partner. If your account is canceled or terminated, we may provide a copy of your inspection reports to the partner where applicable program terms require it. We disclose the substance of inspection reports to a partner only where required by applicable program terms, directed by the User, or otherwise permitted by law.

5.5 Report Recipients and Client-Facing Features

At a User’s direction, we may make inspection reports and related information available to inspection clients, buyers, sellers, real estate professionals, contractors, or other recipients designated by the User. Recipients may be able to view interactive reports, filter findings, create or review repair lists, download reports, or use other client-facing features. The User is responsible for selecting authorized recipients and determining whether the disclosure is appropriate.

5.6 Legal, Safety, and Business Transactions

We may disclose personal information where reasonably necessary to comply with applicable law, subpoena, court order, or legal process; respond to lawful requests from public authorities; protect the rights, property, safety, or security of InspectionX, our Users, the Services, or others; investigate fraud, misuse, or security incidents; enforce our agreements; or establish, exercise, or defend legal claims. We may also disclose or transfer personal information in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction.

5.7 At Your Direction, With Consent, and Deidentified Information

We may disclose information when you direct or authorize us to do so, including for report delivery, data exports, enabled integrations, and other User-requested disclosures, or for another purpose disclosed when the information is collected. We may disclose or commercialize Derived Data and aggregated information as described in Section 3.3.

6. Data Retention

We retain personal information only for as long as reasonably necessary and proportionate for the purposes described in this Privacy Policy, including to provide and support the Services, maintain inspection and report records, comply with contractual and legal obligations, maintain security, resolve disputes, and establish, exercise, or defend legal claims.

Retention periods depend on the nature of the information and why it was collected. For example:

  • account and contact information may be retained for the duration of the account or business relationship and for a reasonable period thereafter;
  • Inspection Data, reports, photographs, video, audio recordings, transcriptions, templates, report versions, and related content may be retained while an account is active and thereafter as reasonably necessary to provide historical access, restore or reissue reports, comply with User or program instructions, satisfy applicable recordkeeping requirements, or address claims relating to an inspection;
  • billing and transaction records may be retained for applicable tax, accounting, audit, fraud-prevention, and legal periods;
  • identifiable usage, security, authentication, diagnostic, and audit logs may be retained for a limited period appropriate to their operational, security, or legal purpose;
  • Website and cookie information may be retained according to the applicable technology, consent choice, and operational or analytics purpose; and
  • Derived Data and aggregated information may be retained for longer periods because they do not identify or reasonably link to an individual or individual property.

You may request deletion of reports, images, and other personal information by contacting legal@inspectionx.ai or using deletion controls made available through the Services. We will verify and respond to requests within the period required by applicable law. Residual copies may remain in backup systems until deleted or overwritten through our ordinary backup processes.

We may retain information notwithstanding a deletion request where retention is reasonably necessary or permitted to complete a transaction or provide a requested service; maintain inspection, report, or audit integrity; detect or prevent security incidents or fraud; comply with legal, regulatory, tax, accounting, insurance, professional, or contractual obligations; establish, exercise, or defend legal claims; honor program terms or User instructions; or maintain Derived Data or aggregated information that no longer identifies or can reasonably be linked to an individual.

Inspectors may be subject to independent licensing, contractual, insurance, professional, or state-law recordkeeping requirements. InspectionX’s retention of information does not satisfy a User’s independent recordkeeping obligations, and deleting information from the Services does not relieve a User of those obligations.

7. Your Privacy Rights and Choices

7.1 Account, Marketing, Cookie, and Device Choices

You may be able to review or update certain account information through the Services. You may unsubscribe from marketing emails using the unsubscribe instructions in the communication. We may continue to send Service, account, billing, security, legal, and other non-marketing communications. You may manage certain cookies through available preference tools or browser settings and may manage mobile application permissions through your device settings. Disabling certain permissions or technologies may affect Service functionality.

Many U.S. comprehensive privacy laws apply principally to individuals acting in a personal capacity and may exclude or exempt information processed in a business-to-business, employment, or service-provider context.

7.3 U.S. State Privacy Disclosures

We use sensitive personal information only for purposes reasonably necessary to authenticate Users, secure accounts, provide inspection functionality, prevent fraud, comply with law, and perform other permitted purposes. We do not use sensitive personal information to infer characteristics for third-party advertising purposes.

7.5 Exercising Privacy Rights

To submit a privacy request, contact legal@inspectionx.ai and provide sufficient information to identify your account or relationship with InspectionX and describe your request. We may verify your identity or authority before responding. Where permitted by law, an authorized agent may submit a request on your behalf, subject to appropriate verification.

We will respond within the period required by applicable law. If applicable law provides a right to appeal our decision, you may submit an appeal by contacting legal@inspectionx.ai and identifying the prior request or decision you wish to appeal. We will not unlawfully discriminate against you for exercising an applicable privacy right.

If the request concerns Inspection Data that we process on behalf of an inspector, inspection company, or other User, we may refer the request to or coordinate with the applicable User. We cannot provide, correct, or delete information that has been validly deidentified and incorporated into Derived Data or model parameters in a form that no longer identifies or can reasonably be linked to an individual.

8. Information About Third Parties at Inspection Sites

Inspection Data may include personal information about people who are not Users, including property owners, occupants, tenants, inspection clients, real estate professionals, contractors, children present at a property, and other individuals. Depending on the inspection, this may include names, contact information, property addresses, images or video of homes and belongings, audio recorded on the premises, statements made during an inspection, and other information included in a report or supporting documentation.

If you are a User, you determine why and how this information is collected and used in connection with your inspection, and InspectionX generally processes it on your behalf. You are responsible for providing any legally required notices and obtaining any legally required permissions or consents before capturing, recording, uploading, or disclosing audio, images, video, personal information, or other content through the Services. Audio recording may be regulated by federal and state wiretapping, interception, and consent laws, including laws in certain jurisdictions requiring consent from all parties to a recording.

If you are a property owner, occupant, inspection client, or other person whose information appears in Inspection Data, InspectionX generally processes that information on behalf of the inspector or inspection company using the Services. Requests concerning that information should ordinarily be directed to the applicable inspector or inspection company. You may also contact us at legal@inspectionx.ai, and we may route the request to or assist the applicable User in responding.

9. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, acquisition, use, alteration, loss, or disclosure. Depending on the applicable system and information, these safeguards may include encryption in transit and at rest, authentication and access controls, least-privilege provisioning, logging and monitoring, vulnerability and patch management, backup and recovery procedures, vendor review, workforce confidentiality obligations, and incident-response procedures.

No method of transmission over the internet, wireless network, or electronic storage is completely secure. We therefore cannot guarantee absolute security. Users are responsible for safeguarding credentials, managing authorized personnel access, securing devices, and promptly notifying us of suspected unauthorized access. If a security incident involving personal information triggers notification obligations under applicable law or contract, we will provide notices to affected Users, individuals, regulators, or other required parties as required.

10. Cookies and Similar Technologies

We and our service providers may use cookies, pixels, tags, local storage, web beacons, scripts, and similar technologies on the Website and Services to operate and secure the Services, authenticate Users, maintain sessions, remember preferences, process forms, understand usage, diagnose errors, measure performance, and support communications.

These technologies may include:

  • Strictly Necessary Technologies, which are required for authentication, security, session management, form processing, fraud prevention, and core functionality;
  • Functional Technologies, which remember settings and preferences and support requested functionality; and
  • Analytics and Performance Technologies, which help us understand how visitors and Users interact with the Services, measure performance, identify errors, and improve the Services.

You may be able to manage non-essential technologies through a cookie preference tool, if available, or through your browser settings. Blocking or deleting certain technologies may affect functionality.

Some browsers offer a “Do Not Track” signal. Because there is no uniform industry standard governing these signals, we do not currently respond to Do Not Track signals. Where required by applicable law, we recognize legally valid opt-out preference signals, such as Global Privacy Control, for the activities to which they apply.

11. Children’s Privacy

The Services are business tools intended for professional inspectors and other authorized business users who are at least eighteen years of age. We do not knowingly permit individuals under 18 to create User accounts or knowingly collect personal information directly from children under 13 through the Services without legally sufficient authorization.

Inspection Data may incidentally capture images, audio, video, or other information concerning children who are present at a property. Users are responsible for applicable notices and permissions as described in Section 8. If we learn that a child provided personal information directly to InspectionX in circumstances requiring deletion, we will take reasonable steps to delete the information.

12. Third-Party Services, Integrations, and Links

The Services may link to or integrate with third-party websites, applications, app stores, inspection software, scheduling tools, payment providers, data sources, social-media services, or other third-party services. This Privacy Policy does not govern a third party’s independent processing of personal information. Where you choose to use an integration or third-party service, the third party may process information under its own terms and privacy notice. We encourage you to review those notices before enabling or using the applicable service.

13. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in the Services, our information practices, technologies, business operations, or legal obligations. When we make changes, we will revise the “Last Updated” date above. If we make material changes, we may provide additional notice by email, through the Services, or by another appropriate method before the changes become effective where required by applicable law or contract.
